Statement of Purpose

To provide support to the executive office and senior leadership for administrative tasks and other projects.

Education

Associate of Arts degree or similar from a regionally accredited university, college, or technical school required. Bachelors degree in communications, English, or business from a regionally accredited college or university strongly preferred. An equivalent combination of education and experience may also be acceptable.

Training and Specialized Knowledge

Must be a self-starter who can work independently while carrying out numerous assignments. Excellent oral and written communications skills, including strong sense of grammar, punctuation, and written communication style guidelines. Strong organization, problem-solving and computer skills, including Microsoft Word, Excel, PowerPoint, and internet proficiency required. Excellent judgment and an ability to handle confidential work with tact and discretion.

Experience

A minimum of three (3) years professional experience in an executive assistant/support position. Prior experience supporting multiple executives and board members a plus.

Travel

Limited travel outside the DC area.

Specific Duties and Responsibilities

Administrative Support

  • Receive and screen incoming telephone calls for the executive office.
  • Handle travel arrangements for Senior Leadership as necessary and appropriate.
  • Monitor follow-ups for Senior Leaderships upcoming deadlines, follow through on necessary details.
  • Develop, organize, and maintain files for Senior Leaderships documents and records.
  • Provide ongoing administrative support to assist with scheduling of meetings; handling of documents; and general office support.
  • Assist as needed with planning, and confirming logistical support for executives in-house meetings, including, but not limited to: reserving conference rooms, ordering AV, food, etc.
  • Assist with the NAEPB Board and provide administrative support as needed.
  • Requires a person who can quickly assess any given situation and manage it with a professional and skilled response.

Communication Support

  • Assist with all executive and senior leadership correspondence, proofing for accuracy.
  • Handle all incoming mail. Compose letters, prepare reports, and manage correspondence. material. Reply directly to general inquiries, non-technical topics, and brief correspondence.
  • Analyze various information and reports. Assist in preparation of senior leadership presentations for meetings and projects. Take meeting minutes as requested.
  • Assist as requested in proofreading any NIB publications/documents under development i.e., annual report; quarterly magazine; annual business plan.

Quality Work Environment (QWE)

  • Assist with scheduling of meetings of the QWE subcommittee, communication within the subcommittee, and record and distribute minutes of its meetings.
