Site Administrative Coordinator (80163BR)
Job Description BAE Systems in Elgin, OK is seeking an experienced administrative coordinator for the site. The site administrative coordinator works under the direction of the site manager and provides a variety of administrative and production support services for 45 manufacturing operations employees. Some support services may be directed by functional managers at other locations. The site administrative coordinator must be able to work independently with little or no supervision and contribute to the success of the overall team. This position may also perform the following duties and responsibilities:
- Customer, guest, and visitor reception
- Customer, guest and visitor security screenings
- Answer and direct phone calls
- Initiate, monitor, and maintain selected purchase orders to support site operations
- Procure office and manufacturing supplies following company purchase card procedures
- Plan, administer, and maintain training records of site employees
- Conduct of inventory and audits of government property
- Safety, health, and environmental data entry, reporting, and metrics monitoring
- Serve as the site record administrator to collect, sort, and archive company documents
- Report, track, maintain safety health and environmental records and metrics
- Assist infrequent travelers with travel arrangements and expense reporting
- Plan, prepare for and execute company events
- Develop, administer, and document new employee orientation
- Bachelor’s degree in a business or related technical discipline and 4 years of relevant experience or equivalent combination of work experience and education
- Excellent communication skills, both written and verbal
- Valid driver license
- U.S. citizenship
- Ability to learn new computer-based tools as required to carry out duties and responsibilities
- Excellent customer service skills (trusted and reliable; prompt; attentive)
- Must work independently and demonstrate strong initiative to organize daily tasks and manage multiple responsibilities
- Bachelor’s degree in business or related technical discipline
- 5 or more years of relevant experience with administrative duties
- Experience in defense contracting or combat vehicle manufacturing
- Advanced level proficiency in Microsoft Office applications: Word; Excel; Power Point; Outlook and/or other business applications
- Prior military experience supporting a senior military officer in a command position
- Experience working in complex organizations and working with other business teams
