Responsibilities include researching, compiling, tracking, and analyzing data and information from multiple sources, organizing, coordinating, and scheduling meetings both on-site, virtual, and hybrid, preparing travel arrangements, preparing correspondence and reports, purchasing supplies, filing, coordinating procurement packages, and coordinating calendar. Utilizes various types of software to compile and generate reports, spreadsheets, statistics, timelines, tables, graphs, correspondence, surveys, and presentations. Works with numerous Argonne information technology business applications to support line managers and co-workers. Analyzes data and recommends processes to enhance workflow or drive improvement. Provides data and information to others on functional unit processes and procedures.

Position Requirements

  • Skill in compiling data for various reports, composing correspondence, and proofreading and editing.
  • Skill in using personal computers, office machines, and other office equipment, and using Microsoft Office programs (e.g., Excel, PowerPoint, SharePoint, Outlook, OneNote, Word, Forms, Teams, Zoom, BOX, etc.,), and knowledge of or ability to learn Laboratory and Department of Energy (DOE) custom business systems and applications.   • Ability to take rough concepts, notes, and detailed reports and distill information and data into presentations, charts, dashboards, etc. to create succinct and visually appealing work products for distribution.
  • Skill is required in scheduling of office activities, taking accurate meeting minutes, handling difficult situations, and handling sensitive information in a confidential manner.
  • Skill in creating and updating training documentation (e.g., Videos, Job Aids, Web Pages, PowerPoints, Micro Learnings).
  • Skill in assisting and managing contracts for groups supported: Quality Assurance & Services (QAS)/Performance Assurance (PA)/Incident Investigation (II)/Work Planning and Control (WPC).
  • Managing data calls and property for groups supported, using laboratory business systems: QAS/PA/II/WPC.
  • Skill in oral and written communication as well as interpersonal skills when interacting and communicating with a variety of internal and external contacts.
  • Skill in scheduling appointments, arranging meetings, coordinating onsite visits of others, obtaining badges, and coordinating travel arrangements.
  • Knowledge of secretarial science, office practices and management, record keeping procedures, and English grammar and usage.
  • Maintenance of computer and manual filing systems in alignment with QAS/PA/II/WPC records retention schedules.
  • Organizational skills and setting priorities and handling multiple assignments simultaneously.
  • Basic mathematical skills are required.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.

The selected candidate can be hired at one of two levels. The requirements for each level are as follows:

  • SA3 Level: High school and 8+ years of experience, or equivalent
  • SA4 Level: High school and 10+ years of experience, or Associate's degree with 8+ years of experience
