Responsibilities

Under the supervision of the Regional Director, the Administrative Specialist will provide coordination and support to meet the administrative needs within the UCLA Health clinics in the Northwest Valley. Coordinate scheduling of meetings, preparation of meeting minutes and maintaining the calendar. Provide support to the director and the clinics with special projects. Screen and forward calls taking detailed phone messages. Organize documents, maintain office files, and develop and implement efficient and effective systems for managing information, projects and communications.

Qualifications

Required: * Demonstrated experience in maintaining calendars and schedules with competing priorities and complex logistics. * Ability to work independently and follow through on assignments with minimal supervision. * Ability to establish and maintain priorities, performing independently and efficiently while coping with a fluctuating workload, competing requirements, frequent interruptions and fast-paced environment. * Strong communication and interpersonal skills in order to develop professional, collaborative working relationships with colleagues. * Skill in writing and editing concise, logical and grammatically correct correspondence, meeting minutes, and general business communication.* Demonstrated ability to perform work covering the full spectrum of administrative duties in support of healthcare practices in a professional manner prioritizing assignments and demonstrating flexibility by responding quickly and accurately to immediate deadlines. * Ability to work flexible hours as determined by changing needs and priorities (including weekends). * Ability to interact diplomatically with persons from varied backgrounds maintaining grace under pressure at all times. * Skill in performing duties with frequent interruptions and/or distractions. * Excellent MS Office skills (Excel, Word, PowerPoint).
