Job Description

This position provides direct administrative assistance to the VP, Global Pharmaceutical Packaging Operations, oversees the administrative coordination and execution required for senior leadership including efforts related to scheduling, expense management, project oversight and other key activities; (b) ensures execution of organizational and leadership priorities across the integrated GPO Packaging network of Ops, Quality and Technology; and (c) collaborates with administrative peers who support our leaders and other key stakeholders that partner with the GPO Packaging Operations function to achieve its mission.

  • General Secretarial/Clerical duties constitute approximately 10% of job responsibilities.

  • Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.

  • Work priorities and activities are reviewed with little supervision.

  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem solving skills.

  • Schedules complex, multi-leg and international travel

  • Prepare expense reports, purchase orders and payment requests in COMET – ensuring compliance to our guidelines

  • Collaborate with admins supporting MLT and LOBs/Functions across our division for scheduling or other leadership commitments

  • Supports the use of Team Sites

  • Collaboration and Communication Skills must be at a level to effectively interact with our company's executives and internal/external clients both on-site and remotely to maintain workflow.

  • May coordinate special projects within the division/area.

Education:

  • Required: High School Diploma

  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required:

  • Minimum of (10) years Administrative Assistant experience

  • Minimum of (5) years Administrative experience supporting Executives

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of other internal systems

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel

  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Event Planning/Coordination experience

  • Extraordinary attention to detail

  • Outstanding communication, collaboration and people skills

  • Budget/Finance Management experience

Preferred

  • 10 or more years administrative experience supporting a senior executive

  • Prior experience supporting a VP, Band 700 leader
